This Privacy Policy (“Policy”) describes the “Personal Data” that we collect about you, how we use it, how we share it, your rights and choices, and how you can contact us about our privacy practices. This Policy also outlines your data subject rights, including the right to object to some uses of your Personal Data by us.
We currently collect and process the following information:
- Personal identifiers, contact address, e-mail address and telephone number
Most of the personal information we process is provided to us directly by you for the following reasons:
- Application and subscription for annual Membership
- Donations
- Application for annual Grants
We use the information that you have given us in order to:
- Compile our Membership records
- Enable distribution of a regular Newsletter by e-mail and any other information such as Notice of Meetings.
- Decide and award any grants
We share this information with the Membermojo organisation who manage our Membership web site but with no other third Party. Membermojo act as our Data Collector. EGMEL are the Data Controller under the legislation.
Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

(b) We have a contractual obligation related to your Membership
(c) We have a legitimate interest.
How we store your personal information
Your information is securely stored.
We keep the personal information you have consented to send us for 12 calendar months after your Membership has expired/ not been renewed. We will then securely dispose of your information by shredding (manual and electronically).

Under data protection law, you have rights including:
Your right of access – You have the right to ask us for copies of your personal information.
Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
